1. Who We Are
DD214 Assist ("we," "us," or "our") is a private, paid document retrieval service that assists veterans and their families in obtaining copies of military discharge records (DD-214 and related documents) from the National Personnel Records Center (NPRC). We are not affiliated with the U.S. government or any government agency. Veterans may request their own records at no cost through the National Archives at archives.gov.
2. Information We Collect
To process your DD-214 request, we collect the following information:
- Veteran's full name, date of birth, place of birth, and last four digits of Social Security Number
- Branch of service, dates of service, service number, rank, and discharge character
- Mailing address, email address, and phone number
- Payment information (processed securely by Stripe — we do not store full card numbers)
- Your relationship to the veteran (if requesting on behalf of another)
3. How We Use Your Information
We use your information solely to:
- Prepare and submit your DD-214 request to the NPRC on your behalf
- Process your payment via Stripe
- Send you status updates and your confirmation number
- Respond to your support inquiries
We do not sell, rent, or share your personal information with third parties for marketing purposes.
4. Payment Security
All payment transactions are processed by Stripe, a PCI-DSS Level 1 compliant payment processor. We never see or store your full credit card number, CVV, or banking information. Stripe's privacy policy is available at stripe.com/privacy.
5. Data Retention
We retain your submission information for a period of three (3) years to allow you to track your request status and for our records. You may request deletion of your data at any time by contacting us.
6. Military Data & the Privacy Act of 1974
We collect sensitive military service information solely for the purpose of preparing and submitting your DD-214 request to the National Personnel Records Center (NPRC). We are aware of our obligations under the Privacy Act of 1974 (5 U.S.C. § 552a), which governs the collection, use, and disclosure of personally identifiable information maintained in federal systems of records.
While DD214 Assist is a private company and not a federal agency subject to the Privacy Act, we voluntarily adhere to its principles:
- Military and personal data is collected only for the specific purpose of fulfilling your records request
- Data is not disclosed to third parties without your consent, except as required to process your request
- Social Security Numbers and service numbers are used solely for identity verification with the NPRC and are stored with encryption
- You may request access to, correction of, or deletion of your data at any time
7. Data Security
We implement reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS/SSL) and secure server environments. Sensitive data including Social Security Numbers is encrypted at rest. However, no method of transmission over the internet is 100% secure.
8. Your Rights
You have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal retention requirements)
